Accounting & Administration Coordinator

We are a fast-growing design-build technology company in San Diego, and we’re looking for a reliable, detail-oriented professional to support our accounting and administrative operations.
The Role
This is a hands-on execution role responsible for keeping the financial and administrative engine of the company running day-to-day.
Key Responsibilities
Accounting & Finance Execution
- Process payroll (full cycle)
- Manage accounts payable (vendor bills, payments)
- Support accounts receivable and collections
- Assist with invoicing and Requests for Payment (RFPs)
- Process credit card payments
Reconciliations & Accuracy
- Perform bank reconciliations
- Reconcile credit cards and expense accounts
- Track gas cards and company purchasing accounts
- Ensure accurate job costing inputs (time and expenses)
Cash & Commission Support
- Track incoming payments and collections
- Support AR follow-ups
- Assist in sales commission tracking (based on cash received)
HR & Employee Support
- New hire onboarding (ADP, forms, setup)
- Maintain employee records
- Administer benefits (health insurance, 401k)
- Process reimbursements
Admin & Operations (Critical Support)
- Handle incoming calls and lead intake
- Coordinate OSHA compliance tracking
- Manage insurance certificates and lien releases
- Oversee fleet administration:
- Vehicle registrations
- Insurance tracking
- Smog compliance
Ideal Candidate
- 2–5 years in accounting/admin role
- Experience with payroll, AP, and basic bookkeeping
- Highly organized and detail-oriented
- Comfortable handling multiple responsibilities
- Strong follow-through and reliability
